Why We Ranked Hedy #1 for 2026

How our 13-criteria weighted formula puts Hedy first at 4.7 out of 5, and the criteria where Otter.ai, Fireflies.ai, Read.ai and Granola beat it.

The short answer: Hedy ranks first because it scores 5 out of 5 on the three criteria we weight most (privacy, transcription and AI analysis) and on six more, finishing at 4.7 out of 5 against 3.9 for the next tool. It scores 4 on ease of use, platform support, integrations and knowledge connection, and other tools beat it there.

Rankings are only as useful as the method behind them. When we say Hedy is our top-ranked AI meeting assistant for 2026, you should be able to check how we got there. This post walks through the formula, Hedy’s scores, the tools that beat it on specific criteria, and what would have to change to put another tool first.

How the formula works

We rate every tool from 1 to 5 stars on 13 criteria. Each criterion sits in one of three weight tiers, and the overall score is a weighted average:

overall = Σ(score × weight) ÷ 27

The three high-weight criteria count three times, eight medium-weight criteria count twice, and two low-weight criteria count once. The weights add up to 27. The tiers, the criteria and the scoring notes are published on our About page, and the overall scores are computed from the ratings in each review, so a score on /rankings/ cannot drift from the stars behind it.

Privacy, transcription and AI analysis carry the most weight because they are the fundamentals. A tool that gets those right deserves more credit than one that compensates with a long integration list. Ties are broken by the sum of those three scores.

Where Hedy scores 5, and why

Privacy. Speech recognition always runs on your device. With Local AI turned on (released May 2026, on Apple Silicon Macs, capable Windows GPUs, recent iPhones and iPads, and Android phones with a supported GPU), the summaries, notes, chat and live coaching run there too, so nothing has to leave your machine. Otherwise the AI step runs in Hedy’s EU or US cloud, or in Apple Private Cloud Compute on iOS 27. Hedy also holds SOC 2 Type I and offers a HIPAA BAA on Enterprise. Every cloud-only tool in the table scores 3 here.

Transcription and AI analysis. On-device speech recognition (NVIDIA Nemotron since June 2026, with Whisper still an option) in 30+ languages, plus structured summaries, action items and decisions. Otter.ai and Fireflies.ai match Hedy on both scores. Hedy does not beat them on transcription; it ties them while keeping the audio on your device.

Consent and retention. Hedy never trains on your data, and its AI providers are contractually barred from doing so. Otter.ai trains on de-identified data by default with no self-serve opt-out documented on its privacy page, and Granola trains by default unless you opt out, which is why both score 2 on retention. Bot-free capture is silent, so the duty to tell people you are recording stays with you, whichever tool you use.

Recording method, real-time and offline. No meeting bot on desktop, a phone or tablet mic for in-person meetings, and an Apple Watch app that records on its own. Hedy offers live coaching suggestions during the meeting on every plan, including the free one (Otter.ai’s equivalent, Live Assist, is Enterprise-only), and it is the only tool in this table that keeps working with no connection (transcription always, the full pipeline with Local AI on supported hardware).

Pricing. A free plan with 5 hours a month (live coaching for the first 30 minutes of each session), Pro at $12.99 a month or $99.99 a year, and a $299 lifetime license.

Where Hedy scores 4, and why it still leads

Four criteria cost Hedy a star:

  • Ease of use (4). Hedy is quick to install and start, but Otter.ai, Granola and Fathom score 5 on polish and team onboarding.
  • Platform support (4). Hedy runs on Mac, iPhone, iPad, Windows, Android, web and Apple Watch, but full on-device AI needs recent hardware, and Otter.ai scores 5 for breadth of platforms and meeting apps.
  • Integrations (4). Hedy has Zapier, a verified n8n node, a REST API, webhooks and an MCP server for Claude, ChatGPT and Cursor, but no native CRM connector. Otter.ai and Fireflies.ai score 5.
  • Knowledge connection (4). Hedy’s Topics feature carries context across related meetings and drafts prep notes, but Otter.ai, Fireflies.ai, Read.ai, Granola and Fathom score 5 for searchable history and team-wide memory.

Those four criteria are worth 7 weighted points between them. Against Otter.ai, the strongest of the group on these, Hedy gives back exactly those 7 points and gains 31 on privacy, consent, retention, recording method, real-time, offline and pricing. That is the whole gap: 128 weighted points for Hedy against 104 for Otter.ai, or 4.7 against 3.9.

Where others excel

We want to be explicit about where other tools do better, because no tool is best at everything.

Fireflies.ai has native Salesforce, HubSpot, Pipedrive and Zoho integrations and mature conversation analytics. For a revenue team whose notes must land in the CRM automatically, it is the better fit. See our Fireflies.ai vs Hedy comparison.

Otter.ai is the more mature choice for a team-wide rollout, with admin tools, collaboration and a long-established search experience. See Otter.ai vs Hedy.

Read.ai offers team analytics, engagement metrics and cross-workspace search that Hedy does not attempt. See Read.ai vs Hedy.

Granola is a better-designed notepad for people who like writing their own notes, with a stronger shared team workspace and native CRM links. See Granola vs Hedy.

Fathom has an unlimited free plan for recording, transcription and storage, which suits people who accept cloud processing and a training default they can opt out of.

Letterly is a dictation app, not a meeting assistant, and the two do different jobs. See Letterly vs Hedy.

Why privacy tips the scales

In a market where transcription and AI quality are converging, the architecture is what separates the tools. Cloud-based assistants ask you to trust a vendor with your meetings. Hedy gives you a way not to: speech recognition happens on your device, and with Local AI the rest does too. When you do choose cloud AI, you pick EU or US processing, and the providers are barred from training on your content.

That matters more after 2026’s legal developments. A federal judge let a privacy class action against Otter.ai proceed on the theory that a vendor which collects and uses recordings for its own purposes can be treated as a third-party eavesdropper (our write-up), and a proposed class action against Granola makes a related argument about silent capture (see Granola’s lawsuit). Both are allegations or pleading-stage rulings, not findings of liability. For the full picture, see our privacy ranking.

A note on bias

We believe on-device processing is the right default for AI that handles sensitive data, and that belief shows up in the weights: privacy is one of three triple-weighted criteria. So we checked how much the ranking depends on it.

With every criterion weighted equally, Hedy scores 4.7 and the next tool, Microsoft Teams Copilot, 3.9. With privacy, consent, retention and offline each cut to the lowest weight, Hedy still leads at 4.7, with Otter.ai second at 4.2. Even with privacy counting for as little as anything else we score, Hedy keeps the lead on bot-free capture, live coaching and price.

If your priorities are different, the per-criterion scores above and on each review let you rank the tools your own way. The complete facts we use are on the fact sheet, and the live scores are on /rankings/.

Frequently Asked Questions

Why is Hedy ranked #1 among AI meeting assistants? +
Hedy scores 5 out of 5 on nine of our 13 criteria, including the three we weight most (privacy, transcription and AI analysis), plus recording consent, data retention and training, recording method, real-time capability, offline use and pricing.
